If you’ve just joined your church’s tech team, or you’ve been doing it for years but never had proper training on motion backgrounds, this guide is for you. No assumed knowledge. No jargon. Just a clear explanation of what motion backgrounds are, how to use them, and how to avoid the most common mistakes.
What Are Motion Backgrounds?
A motion background is a short video file — usually 15 to 60 seconds long — that plays on loop behind your song lyrics and presentations during a church service. Its job is to fill the screen with something visually alive without distracting from the words and the worship.
They’re the visual equivalent of the atmosphere in a room. When they’re working well, the congregation barely notices them. When they’re not working, everyone notices — a frozen screen, a visible loop jump, or a background that clashes with the mood of the song.
How They Work in ProPresenter
In ProPresenter, motion backgrounds are stored in the Media Library. To use one:
- Click Media at the top of the screen
- Find your background file (your church should have a clearly labelled folder)
- Drag it to the Background layer at the bottom of the current slide — or right-click and select ‘Set as Background’
- The background will loop continuously until you change it or clear it
The key thing to understand: in ProPresenter, the background plays on a separate layer from your lyrics. Changing a lyric slide does not change the background. Changing the background does not affect the lyrics. You can control them independently.
How They Work in EasyWorship
In EasyWorship, backgrounds are applied through the Themes system:
- Click on a song or presentation in your service order
- In the Theme panel on the right, click Media
- Browse to your background file and select it
- It will apply to that item in the service order
You can also set a default background for your whole service by applying it to the Service Properties. Check with your church’s media director which method you’re using before Sunday.
“A well-trained volunteer once costs less than fixing the same mistake every Sunday.”
File Management Basics
Good file management prevents Sunday morning panic. Here’s the basics:
- Motion background files are usually MP4 or MOV — never rename them, and don’t move them without updating your software’s media library
- If a background shows as a red/missing icon in ProPresenter, it’s been moved or renamed — find the file and re-link it before the service starts
- Keep backgrounds in a dedicated folder, clearly labelled (e.g., ‘Motion Backgrounds > Oct 2026 Series’)
- Never delete files from the backgrounds folder without checking with your media director first
Troubleshooting Common Problems
The background stutters or freezes: The file may be too large for your hardware to play smoothly. Switch to the 1080p version instead of 4K, or close other applications taking up memory.
There’s a visible jump every 20 seconds: The file isn’t looping cleanly. Use a different background — and flag it to your media director so the file can be replaced.
The background isn’t showing on the output screen: Check that you’re viewing the Output window (not the Edit window) in ProPresenter. Also check that your output display is correctly assigned in System Preferences.
The wrong background is playing: Check that the correct file is assigned to the current slide. If in doubt, clear the background entirely rather than guessing — a clean black or white slide is better than the wrong background.
One Thing to Remember
The congregation doesn’t care about your software. They care about whether Sunday morning felt alive, welcoming, and real. Your job isn’t to run perfect files — it’s to remove friction from the room so that the worship can do its job. A good motion background is one the congregation never consciously notices. That’s the goal.
